Customise invitation email
When the TrainTool programme is ready to use, you can add and invite participants.
- Open the programme you want to start.
- Go to Settings. Next, scroll down to Customize invitation email.
- Adjust the Subject of the e-mail if necessary.
- Provide a short Welcome Text so that the students know what it is about.
- In the Content field , you explain the programme and what exactly is expected. Make sure that the text is in the same language as the rest of the programme (all other 'fixed text' will be adjusted by TrainTool to the language setting of the participant).
- Click Save at the top right of the page to save the changes.
If you don't adjust the invitation email, the student will receive an email with the example text as shown in the fields.
Add participants
- Go to the tab Trainees.
- Click Add trainees.
- Add all students with their RU email address. You can add multiple students at once by separating email addresses with commas or enters. Note: you can also register a large group of participants and link them directly to a coach. To do this, create a document in Excel with a number of columns (see the example below).
- Select a reporting group. By default, participants are placed in one group (Radboud University Nijmegen). NB: Does your course consist of many students and do you want to be able to report per working group, for example? Please contact the ICT support staff of your faculty to have new reporting groups created.
- Select the language of the programme. The participants see the TrainTool environment and the emails in the selected language. Note: self-adapted text is not automatically translated!
- Click Add trainees. If you have added a large group of students, it can sometimes take a while. In the meantime, you can continue to work.
Students will not yet receive an invitation email. This will be sent once the participants get started.
Start participants
After you add participants, they will appear in a list under the Trainees tab. You can then select participants for whom you want to start the programme.
- Tick the students you want to start.
- Check the box at the top of the table to select all participants.
- Click Start trainees. A pop-up window will appear.
- Select Start today if you want to start the programme for the selected students immediately.
- Select Select a date to specify a date when the programme starts. Then enter the date.
- Click Start trainees.
You can also start students at the same time as another group that has already started or starts later. You can enter any date in the future and the past at Select a date.
Assign coach
If you have set up a role play to be coachable, you need to connect the students to the right coach.
- Select the student(s) you want to connect to a certain coach.
- Click Assign coach.
- Type the first three letters of the coach's name in the search field. Select the right coach. Note: is your colleague not listed? Then a coach account must first be created for this person.
- Click Assign Coach.
- When it comes to a large group of students, you can also choose to have them select a coach themselves. Read more about this in the article How do I change the settings of my programme?

Other options for managing participants
- Click Change start date to change the start date for (one of) your students.
- Click More for more options.
- If a student has not received the invitation email, you can send a new one. Select the student and click Resend invitation.
- You can ignore Renew license. The Radboud University has a campus license with TrainTool and licenses are therefore not applicable.
- If you click Disable deadlines, the selected students can continue training after missing a deadline. However, the deadline will still be visible and students will still receive reminders.
- Has a student indicated that he or she will no longer participate in the course/programme? Select this student and click Close Enrollment. The student disappears to the Closed Participants list and can no longer participate in the programme. The student will no longer receive notifications/reminder emails and will no longer be visible in reports.
